Minutes from May 12, 2009
Present: Bill Stoermer, Lynne Loerop, Heather Bennett, Greg Naftzger, Linda Hollis, Chuck Dykstra, and Patti Housenga.
Absent: Bill Wilkin, Steve Owen, and Paula Rogis.

Minutes: A motion was made by Loerop and seconded by Hollis to approve the minutes from May 12, 2009. Motion carried.
Treasurer's Report: Hollis reviewed the April Treasurer's Report: revenue as $1,784.75 and expenditures of $6,182.83, leaving an ending balance of $8,661.42. A motion was made by Naftzger and seconded by Dykstra to accept the April Treasurer's Report. Motion carried.
Executive: Bennett provided a copy of her monthly meetings report. The annual dinner will be held at the Del Curley Conference Center at Agri-King on June 18, 2009. Best Buds will supply some floral arrangements for decorations. The board directed Bennett to contact the Fulton Meat Market for catering. Meal will include appetizers and a buffet with two meat choices. Bennett will order cake and plaques for outgoing board members. Bennett will provide a copy of last year's program for President, Bill Stoermer. The new board members will be seated at the July meeting but will not be voting members until the August board meeting. Bennett will send new board members information and the bylaws of the Chamber.
Tourism & Promotions: Naftzger reported on the City Tourism Committee - new visitor guide is at printers, countertop mats listing monthly events have been distributed, and Millers have scheduled three summer programs at the mill. Per the committee's bylaws, new representatives were requested for Dutch Days and the Historical Society as the current representative for both groups has not attended the last five months.
Bridal Walk - we have 12 vendors thus far and the committee is making contacts for more vendors. A post card will be sent to 250+ brides that registered at the Clinton and Sauk Valley Bridal Walks.
Celebrate Abe - Bus Trip - we have 24 people signed up, thus far.
Dutch Days Bounce House - The chamber was asked to organize and sponsor the bounce house during the festival. This is the second year the chamber organized the bounce house. The chamber was told the bounce house would be covered by the Dutch Days Festival Insurance Policy. This year, two weeks before the event, the chamber was notified that the bounce house was not covered by the festival's policy. After investigating with two insurance companies, the chamber was added to the bounce house company's insurance policy for an additional $200. Total cost for the bounce house - $650, for one day. This did not include delivery or staffing. Due to the cost and logistical issues (staffing), the board unanimously decided to allocate up to $500 each year to the Dutch Days committee for a bounce house. An invoice for the bounce will be submitted to the chamber for reimbursement after the festival. Bennett was directed to send a letter to the Dutch Days Committee stating the above information.
Fulton Summer Nights - committee (Greg Naftzger, Heidi Kolk, & Heather Bennett) has found sponsors for each of the nights, except August 13. The Fulton Chamber of Commerce will host the August 13 event. The summer nights are held the second and fourth Thursday in June, July, and August from 6pm to 8pm. The first night is June 11 sponsored by Second Reformed Church; and they have several activities planned for the evening. Bennett is currently organizing a coupon/discount sheet for the community night events with participating businesses.
Fulton Historical Society Letter Re: 2011 Reagan Celebration - no follow-up has been received.
Government Affairs: Stoermer reported the Springfield Lobby Trip has been put on hold because the state has not settled upon a capital budget, yet. FOCUS 2010 has not met for a few months, and the co-chair will need to call a meeting soon. Larry Russell has resigned as one of the co-chairs due to his election as Mayor. There is a subcommittee of FOCUS 2010 that meets monthly: Riverfront Corridor Action Team.
Member Ed Committee - A new member Biz After 5 will be held May 14 at the former Fulton Journal Office Building. Bennett will make a few signs noting the new members and Stoermer will give a brief introduction. Invitations will be mailed soon for a business tour of Visual Imaging. The committee is trying to firm up a date for a speaker and luncheon opportunity with Bill Davis in November. Bennett has contacted Sauk Valley Community College about some workshop opportunities for September. FACE and the chamber will help organize another Hazardous and E-Waste Clean-up day on October 3. The event will not include vendors or speakers, only a household clean-up opportunity, for a couple of hours. Stoermer sent thank you cards to the new chamber members.
Downtown: The Fulton Retail Development Group plans to install hardware on the theatre doors and begin painting soon. The building is for sale. The group is currently exploring what other building opportunities are available in the downtown district.
Old/New Business: Stoermer suggested the chamber look into purchasing one or two retractable signs to be used at the hotel and at events as a welcome. The board directed Stoermer to investigate cost and designs. Board members were reminded to submit, by June 9, their choice for a member volunteer of the year award. Bennett was directed to provide some selections to the board members, including past recipients. Stoermer inquired if more awards should be given out. No one had any ideas, but Stoermer was welcome to provide suggestions at the next meeting. The chamber float went well. Thanks to Bill Stoermer for pulling the float, Heather Bennett and Paula Rogis for decorating/organizing the float, and Chuck Dykstra for the use of the trailer.
